How to Choose Accounting Software for a UAE SME.
The right accounting software makes VAT, Corporate Tax and the coming e-invoicing rules far easier. The wrong one means workarounds every month. Here is what to check, and what four common platforms state about themselves.
Most SMEs pick accounting software once and live with it for years. In the UAE the choice matters more than it used to. VAT returns, Corporate Tax records and, from 2027, mandatory e-invoicing all depend on what your system can do.
Here is what to check before you commit, and what four common platforms say about themselves on their own websites. We do not rank them. The right one depends on your business.
What to look for
- VAT-ready invoicing and returns. Tax invoices should show VAT correctly, credit notes should reverse it cleanly, and the system should produce figures that map to your VAT return without spreadsheet surgery.
- Multi-currency. If you buy or sell in USD, EUR or other currencies, you need proper exchange rate handling and realised and unrealised gains and losses.
- Bank feeds. Automatic feeds from your UAE bank save hours of data entry and make month-end reconciliation faster. Check that your specific bank is supported.
- Payroll and WPS. If you pay staff through the Wage Protection System, check whether payroll produces the salary file your bank or exchange house needs, and whether it posts to your ledger.
- Inventory. Trading, retail and food businesses need stock quantities and costs that flow into the accounts, not a separate list.
- Arabic or bilingual invoices. Useful if your customers, landlords or government counterparties expect Arabic.
- Audit trail. Every change should show who made it and when. This protects you in an FTA review and in an external audit.
- User access. Give your accountant, sales team and managers different permissions, and remove access quickly when someone leaves.
- Data residency and export. Ask where your data is hosted, and confirm you can export the full ledger, invoices and attachments if you ever move. Corporate Tax records must be kept for seven years.
- E-invoicing readiness. The biggest change coming. See below.
E-invoicing: dates and service providers
The Ministry of Finance is clear that a PDF, Word file, image, scan or email is not an e-invoice. An e-invoice is structured data exchanged between supplier and buyer through Accredited Service Providers (ASPs), and reported to the FTA.
Ministerial Decision No. 244 of 2025 sets the timetable, and Ministerial Decision No. 66 of 2026 moved one deadline:
| Who | Appoint an ASP by | Go live by |
|---|---|---|
| Revenue of AED 50,000,000 or more | 30 October 2026 (was 31 July 2026) | 1 January 2027 |
| Revenue below AED 50,000,000 | 31 March 2027 | 1 July 2027 |
| Government entities | 31 March 2027 | 1 October 2027 |
Revenue means gross income in your most recent accounting period, based on your financial statements. A pilot programme and voluntary adoption began on 1 July 2026. Business-to-consumer transactions are outside the system for now, and a business making only such sales is not yet subject to it.
The Ministry publishes the official list of ASPs. On 28 September 2026 it listed 60 accredited providers. Whatever software you choose, ask the vendor how it connects to an ASP, and whether that ASP is on the Ministry's list.
Four common options
These are listed in no particular order. Everything below comes from each vendor's own website, checked on 28 September 2026.
Vivid360 describes itself as "one platform to run your entire business". Its product catalogue lists modules for finance and accounting (including multi-entity accounting), tax and compliance (VAT/GST, electronic invoicing and regulatory reporting), billing and invoicing, HR and payroll, inventory and warehouse, and user roles and permissions. Its site says its accounting module keeps a full audit trail on every entry.
Zoho Books has a UAE edition. Zoho says it lets you file VAT returns directly with the FTA's EmaraTax portal, with user roles controlling who can prepare, lock and file returns. Its UAE pages list multi-currency, multilingual invoicing, bank feeds, inventory and payroll. Zoho Payroll for the UAE says it generates WPS salary files and integrates with Zoho Books.
Xero has a UAE site. It offers multi-currency on its Premium plan and direct bank feeds from Wio and Alaan, with other banks available through an integration. Xero's own UAE page describes FTA-ready VAT return mapping and e-invoicing as "coming soon".
QuickBooks Online's UAE site says it comes pre-filled with the 5% UAE VAT rate, calculates VAT on each invoice and expense, and helps you prepare figures for your VAT return. Its UAE features page lists multi-currency, bank feeds, inventory, and user access you can add, change or remove at any time. We did not find e-invoicing described on its UAE pages.
Features change quickly as the e-invoicing deadlines approach. Ask any vendor for a written answer on UAE e-invoicing before you sign, and confirm it against the Ministry's list.
How we help
We work with all four of these platforms, and we can work with others. See the "Software we work with" section on our bookkeeping page. If you are moving off spreadsheets or changing systems, our cloud accounting service sets up your platform, keeps bank feeds reconciled and sends clear monthly reports.
Frequently asked questions
When does e-invoicing start for my business?
Under Ministerial Decision No. 244 of 2025, a business with revenue below AED 50,000,000 must appoint an Accredited Service Provider by 31 March 2027 and go live by 1 July 2027. Businesses at or above AED 50,000,000 must appoint one by 30 October 2026 and go live by 1 January 2027.
Is a PDF invoice an e-invoice?
No. The Ministry of Finance states that PDFs, Word documents, images, scanned copies and emails are not e-invoices. An e-invoice is structured data exchanged through Accredited Service Providers and reported to the FTA.
Do I have to change software to work with GoStride?
No. We work with Vivid360, Zoho Books, Xero and QuickBooks, and we can work with other systems too.
